At Happy People Studio, we harness the power of art, design, and creativity to spread joy and positivity. We are seeking an Assistant to the CEO who will provide high-level strategic support to maximize our CEO’s effectiveness in leadership roles.

Job Summary:

The Assistant to the CEO will engage in sophisticated administrative management, coordinate executive activities, and oversee detailed tasks delegated to the Assistant for Finance & HR Admin. This role is crucial for enhancing the operational efficiency of our leadership.

Key Responsibilities:

1. Financial Management Support:

  • Assist in managing and monitoring studio budgets.
  • Prepare financial statements and reports for review.
  • Coordinate with the Brand Manager, Accountant, and Sales team to ensure financial health.

2. Executive Support:

  • Manage the CEO’s calendar, including scheduling high-level meetings, events, and studio time.
  • Prepare materials for meetings and ensure follow-up actions are executed.

3. Communication Management:

  • Handle communications on behalf of the CEO, including drafting correspondence and managing external communications.

4. Strategic Planning Assistance:

  • Assist in organizing materials for strategic planning sessions and presentations.

5. KOL and Influencer Task Management:

  • Coordinate the CEO’s engagements as a Key Opinion Leader (KOL), including media appearances and collaborations.
  • Manage 4-6 KOL tasks per month, ensuring efficient handling of all logistics.

6. Project Oversight:

  • Monitor major projects and initiatives, liaising with the team to ensure alignment with strategic objectives.

7. ClientRelations:

  • Support the CEO in maintaining and nurturing relationships with business partners, clients, and followers.
  • Manage and organize networking events and public appearances.

Standard Operating Procedures (SOP):

  • Morning Briefing: Outline the day’s priorities and review the schedule to ensure no conflicts.
  • Communication Handling: Manage and prioritize emails and calls to ensure the CEO receives only essential communications.
  • Document Preparation and Management: Prepare briefing documents for meetings and oversee document preparation for quality and accuracy.
  • Strategic Support: Assist in the formulation of strategic documents and presentations.
  • Meeting Management: Schedule and confirm high-level meetings and follow up with necessary actions.
  • Performance Reviews: Regularly review the performance of the Assistant to ensure efficient support of the executive office.

  • Responsibility and Reliability: Ensures tasks are completed on time and meets high standards.
  • Detail-Oriented: Meticulous in managing schedules and correspondence.
  • Adaptability: Able to swiftly adjust to changing priorities and manage unexpected situations.
  • Communication Skills: Effective in both written and verbal communication.
  • Analytical Skills: Strong ability to interpret financial data and make informed decisions.

Applicant Requirements:

  • Age: 30-36, open to ALL genders.
  • Educational Background: Degree in Business Administration, Finance, or a related field.
  • Experience: Minimum of 3 years in a management or executive support role.
  • Language Skills: Fluent in English, with proficiency in both written and verbal communication.
  • Additional Skills: Candidates with expertise in AI will be considered preferentially.
